I'd like to get the ball rolling early on looking for people to work the front tables at FragFest. For those who don't know what I am talking about, every year at FragFest we have a front table set up for registering new people and for checking in preregistered attendants. The front table is actually 3 tables put together in an L shape, to properly direct those coming into the gym.
To give you an idea, here's that the tables look like in front of the door:
As you can see...it gets to be a busy clusterfuck if you are not careful.
Every year there's always some kind of problem with the registration table. Either people are getting through without signing waivers, people are getting through without registering, people are setting things up before registering, the front table person is missing...something tends to happen, and I'd really like to prevent that. I volunteered in fall and in spring to hold the fort and basically take charge of the front table, and I'm only too happy to continue, as I've heard many good things about how smooth the process works now.
There are two days where we need people sitting at the registration table:
Friday: 6pm-12am
Saturday: 12pm-6pm
Ideally I'd like to get people doing 2 hour shifts. That means I need, theoretically, 6 people total. However I would prefer to have 2 people on a shift at any given time. For a few reasons. One, this cuts down on the 'I need to pee, watch the table for me, random person' situations. Two, it cuts down on the chances of someone leaving the front table. If you are there with someone you are a lot less likely to be bored, and less likely to leave (Feel free to bring handheld games or something.). Three, if someone needs to be found (say, someone needs to get pat for some reason), one can fetch him while the other waits at the table. So, I need, theoretically, 12 people.
Now, I say I need theoretically 12 people. However, I will be taking at least a double shift on friday, possibly the whole night, who really knows.Which means I'd need about 8 people.
Also, I would like to use friday night as a way to train those who are going to be doing registration on saturday. So if you are going to be doing tables on saturday, please try to be there friday night so I can tell you what to do and how to do it. If you can't be there on friday, that is OK; you can rely upon your partner to train you. I will also be around all day saturday if you need help or have questions.
Therefore, the situation could look something like this:
The first hour I would do with someone who's already done the front table before, or someone who I know knows what needs to be done and is quick on the draw. I might take the last hour, too...who knows. it's really going to be up to how I feel at that point, and who volunteers/how many volunteers I get.
There would be 3 people working from 6:30-7; me, someone signed up for 6-7, and a trainee. If registration is dead at 6:30-7 I'll relieve the person who signed up for the full hour.
The last hour will be volunteers from the table-sitters. If no one volunteers, I'll do it. I've got a laptop, I can game from the front :P
Basically, everyone who would be working on saturday, would get a half hour long spot with me at the front table sometime on friday night. That's enough time for me to tell you what to do, and for you to get used to the system.
Responsibilities of people at the front table:
There's probably more stuff, but that's all I can remember at the moment. it sounds very confusing, but it's pretty easy actually. If you are interested, let me know, either here or at meetings.

Responsibilities of people at the front table:
- Sign-in preregistered attendants on the sign-in sheet. It will be taped to the table.
- Register attendants who haven't pre-paid. There will be a sheet on the table for this, too.
- Hand the attendees a waiver and have them fill it out FULLY. Make sure they include ALL INFORMATION, no funny business, no skipping anything. I can't stress it enough. If they don't sign it, they leave, and if they pre-reged, then no refunds!
- Hand attendees their raffle ticket. They get the half that says 'keep this half'. They are to write down their raffle number beside their name on the sign-in. On the back of the ticket you keep, write down whether they were pre-reg ($15) or reg ($20). This is for counting purposes after the fact, so we know whether we're short or over on how much money we should have.
- Sign-in Visitors. Visitors do NOT need to pay, however they DO need to sign a waiver and sign on. Visitors do NOT play any games, computer or console games...if you do see 'em playing ask them to please register, stop, or leave. If you catch them again throw them out.
- Slap a wristband on them. On the wristband write 'officer' for officers, and the raffle ticket number for registered attendees. These will be green. For visitors, write 'visitor' on the pink bands and give them one.
- Give registered people a swag bag (visitors do not get swagbags unless otherwise noted).
Include brochure and schedule.
- Make sure people wandering in and out of the gym are registered. They will flash their wrist bands to you. If they don't have a wrist band, they haven't signed a waiver, and aren't allowed inside. Make 'em sign in somehow.
- Get one of the officers or setup crew to help people who need help setting up their computers. Do not let them set up without first signing in. Please stress this to them and do not let them weasel their way out of it if they try to. There are multiple tables up front for them to set their things on while they sign up.
-
Answer questions and give directions. If people have questions and you cannot answer them,
please be honest with them about it. Go straight to an officer and ask. Alternatively, plug our cell numbers into your phone, and call us, so you don't
have to find us. (I don't have a cell, but I can be reached by calling Joe or Pat or Andrew anyway.)
- Also remember that people may want to purchase bawls, t-shirts, etc. I am Keeper of the Cash Box, so if they wanna buy stuff, find me. I'll be in the back, most likely, if not on the consoles playing rock band. If I am *not* in charge of the cash box - be it because I am leaving for food, or going to sleep - then I will announce this over the loudspeaker, and tell you who *is* in charge of it.
There's probably more stuff, but that's all I can remember at the moment. it sounds very confusing, but it's pretty easy actually. If you are interested, let me know, either here or at meetings.
